📢 County Specific COVID VAE Alert and SS Resource Now Available

As communicated in our last workgroup meeting, we are now making the daily COVID VAE alert that we have been pilot running internally for a while available for our county partners who are interested to subscribe them. Just like CLI alerts that some of you currently subscribed, there will be two parts associated with this alerting process
Email Alert: Sent once a day if there were new visits of interest reported/detected in system fall under your jurisdiction in the last 24 hours
Here is what you can expect to see in the email alert
o Visit Date/Time: [Admit Date/Time in ESSENCE]
o Reporting Facility Name: [Hospital Name in ESSENCE]
o Reporting Facility City: [Facility City in ESSENCE]
o Reporting Facility County: [Facility County in ESSENCE]
o Patient City: [Patient City in ESSENCE]
o Patient County: [Patient County in ESSENCE]
o Matching Vaccination Record in ASIIS: whether there is a matching ASIIS vaccination record found that could attribute to this visit, possible values in order of decreasing likelihood are
- Highly Likely Match Found
- Possible Match Found
- No Match Found
o Matched ASIIS Patient ID: ASIIS patient account number from a matching record or “N/A” if no match is found
o Dose Number of Schedule: dose number of the two dose series schedule if known, otherwise “N/A”
o Vaccination Date: date of vaccination from a matching record or “N/A “if no match found
o Vaccine Manufacturer: vaccine maker from a matching record or “N/A “if no match found
o Report Found in CDC VAERS: whether there is a matching CDC VAERS record could be linked to this visit, possible values in order of decreasing likelihood are

County Specific Resource File: Line list with selected columns from ESSENCE with matching ASIIS/VAERS IDs if available. List of columns currently available include
o Admit_Date_Time: date and time patient was admitted as inpatient or registered in ED
o Admit_Reason: reason for visit, may be free text, ICD-10 code or both
o Age: patient’s age
o Birth_Date_Time/PT_DoB: patient’s date of birth
o C_Death: calculated death indicator, possible values are “Yes” or “No”
o CCDD: combined field of chief complaint (CC) and discharge diagnosis (DD)
o CCDDCatogory: ESSENCE syndrome category
o ChiefComplaintOrig: most recent chief complaint in its original reporting format
o ChiefComplaintUpdates: history of chief complaint received in all reports
o ClinicalImpression: preliminary diagnosis
o Discharge_Date_Time: date and time of patient discharge
o DischargeDiagnosis: most recent patient diagnosis information
o DischargeDisposition: discharge status in coded value
o DischargeDispositionUpdates: history of diagnosis information received in all reports
o HasBeenE: whether the visit started in ED (1 = “Yes”, 0 = “No”)
o HasBeenI: whether patient was admitted to inpatient unit (1 = “Yes”, 0 = “No”)
o HospitalName: name of hospital in ESSENCE
o Medical_Record_Number: patient’s medical record number
o Medication_Code/Medication_Combo/Medication_List: coded or free text medication information if available
o Patient_City: city name from patient’s address
o Problem_List_Combo: list of problems if available
o Region: patient county
o Sex: patient gender
o TriageNotesOrig: most recent ED triage note in its original format
o Visit_ID: unique ID assigned by the hospital for this visit
o ZipCode: patient zip code
o MinutesFromVisitToDischarge: duration of visit from admission to discharge displayed in minutes
o Race_flat/Race: coded and text value of patient race
o Ethnicity_flat/Ethnicity: coded and text value of patient ethnicity
o IZ_Record_in_ASIIS: whether a matching ASIIS record is found
o ASIIS_PID: patient account number in ASIIS from a matching record, otherwise “N/A”
o Dose_Num: dose number from a matching record, otherwise “N/A”
o VACC_Date: vaccination date number from a matching record, otherwise “N/A”
o Manufacturer: vaccine manufacturer name from a matching record, otherwise “N/A”
o Reported_in_VAERS: whether a matching VAERS record can be found for this visit
o Matched_VAERS_ID: VAERS report ID from a matching record, otherwise “N/A”
If you are interested to subscribe the alert and resource file for your jurisdiction data or have any questions, please send your request or questions to syndromicsurveillance@azdhs.gov and cc both Krystal ( krystal.collier@azdhs.gov) and me (yong.wang@azdhs.gov) on the email.
The resource file will be disseminated via the same method/route as your county’s COVID vaccination report. This is to streamline the workflow from your end so you can have both files in the same location which should make it easier for you to cross reference the detailed vaccination file if you need to pull any additional information (such as lot number, patient’s name, street address, … etc.) not in the SS resource file.
Last, we should like to emphasis that AIPO will still be the main resource for your investigation needs. Any request for additional information in regards to vaccination event or detailed VAERs record should be direct to AIPO team and Dr. Karen Lewis who is overseeing the vaccine safety issues.
