eCR/RCKMS Community of Practice

The purpose of the eCR/RCKMS Community of Practice Basecamp is to provide staff from state, local, territorial, and tribal public health agencies with a venue to participate in peer-to-peer discussions pertaining to using RCKMS. This Basecamp is not intended for formal communications about RCKMS or eCR and will not be moderated by CSTE staff. 🛠 Feedback Requested: How does your jurisdiction utilize RCTC spreadsheet and eRSD files?

The RCKMS Content Team is collaborating with an APHL technical development team to create a value set manager that will aid in the maintenance and provisioning of Reportable Conditions Trigger Codes (RCTC). To inform this effort, we want to understand how jurisdiction RCKMS users are currently utilizing the RCTC. Please note that all RCKMS value sets will still be available at VSAC, this effort is more focused on how RCTC are developed & provisioned.
 
Please answer the following questions as they pertain to your jurisdiction:
  1. Do you currently use any of the RCTC resources downloadable from the AIMS eRSD site at https://ersd.aimsplatform.org/#/home ?
  2. Do you use the RCTC Excel spreadsheet, eRSD JSON/ XML files, or a combination of these resources?
  3. If you utilize the RCTC Excel spreadsheet, what is it used for within your jurisdiction?

Not yet but the next iteration of the IL sys (online in the next few months) will use it

Not sure which format will be best for the goal of monitoring condition validity (confirm that case reports do not contain artefactual conditions)

I am somewhat new to eCR in Colorado (CDPHE) but I have been using the RCTC excel spreadsheet as an easy reference tool for looking up OIDs and associated value sets.  I know I can get this info in RCKMS but it is nice to have it all in one document.

Morning,
CT does use the RCTC resources available from the AIMS eSRD site. We use the RCTC excel spreadsheet to review if codes have been removed or to check to see if a code is valid.  We do not use the eRSD JSON/XML files. Another service we use on the AIMS site is the notification system so that we are aware when a new eRSD update has been released.

Hello,

No, at KDHE, we have not used any of the RCTC resources. After seeing these questions, we have created new accounts for the eRSD website, and will be reviewing the spreadsheets. We may use the excel to double check codes and OIDs. We are always looking for more resources to use, so a value set manager would be appreciated.

No SDDOH is not using the RCTC resources. I have found it more useful to use the condition reports in RCKMS to work with value sets and check codes. However, as mentioned by others, a value set manager for PHAs would be useful for mapping, as well as keeping track of value sets that have been updated in content releases, and identifying which conditions use which general lab value sets (e.g. bacterial cultures and microscopic observations)

1. We use the resources
2. We use a combination of the resources. Just depends on who is looking. Mostly the excel spreadsheet. But we download the XML file to have a record of previous versions because our HCO's sometimes struggle with the versions. 
3. The biggest use of the excel spreadsheet has been for validating condition codes we expect to match one of our RCKMS rules and 

Use case example: An HCO said that they had uploaded the most recent RCTC list. We then went to the site, looked at the Read Me tab and noted that the HCO could not have done so because it was released after the date they said they had uploaded the list.

Use case example: An HCO had drafted their eCR maintenance plan and requested our approval. It was clear they did not understand the process of RCTC version releases. They thought it was coming from Tennessee Department of Health. Because we were familiar with the page and the spreadsheets and the triggering process, we were able to edit their maintenance plan to reflect the true process. 

A request: The HCO did request a tutorial on understanding the excel spreadsheet. I also thought that might be an interesting presentation for us from the APHL team.

Yes, but not directly from the AIMS eRSD site , usually from resources shared through RCKMS community of practice sites or forums  

2.   Do you use the RCTC Excel spreadsheet, eRSD JSON/ XML files, or a combination of these resources?

Yes we use the XML files in conjuction with the RCTC resources

3.   If you utilize the RCTC Excel spreadsheet, what is it used for within your jurisdiction? 

For referencing during authoring processes to ensure that we have the complete value set content with lists of codes and corresponding terms that is current and accurate.

NYSDOH uses the RCTC Excel Spreadsheet.
If you utilize the RCTC Excel spreadsheet, what is it used for within your jurisdiction?
NYSDOH uses the RCTC Excel Spreadsheet to update our reportable condition table which takes the reportable condition code and maps it to our internal disease codes in our ELR and Communicable Disease Surveillance System.

  1. Yes, the California Department of Public Health uses the RCTC downloadable spreadsheet from the AIMS eRSD site at https://ersd.aimsplatform.org/#/home ?
  2. Yes, the California Department of Public Health uses the RCTC Excel spreadsheet. We do not use the eRSD JSON resources.
  3. If you utilize the RCTC Excel spreadsheet, what is it used for within your jurisdiction? We use it to identify the LOINCs to group for parsing lab results to our surveillance system and confirming the current RCTC version to convey to the HCOs.

Yes., the Virginia Department of Health (VDH) uses the downloadable spreadsheet.

Do you use the RCTC Excel spreadsheet, eRSD JSON/ XML files, or a combination of these resources?
VDH uses the RCTC Excel Spreadsheet almost weekly and is up to date and alert to when a new version is released. 

If you utilize the RCTC Excel spreadsheet, what is it used for within your jurisdiction?
VDH uses the RCTC Excel Spreadsheet to update our code to condition tables with new/missing codes each time a version is released. Within our surveillance system whenever an error is found in our NBS system it is useful to have this spreadsheet handy for code references or even condition name/ description.
